Refund & Rescheduling  Policy

Effective Date: October 16, 2025

At Pine to Pixel, we strive to deliver exceptional photo and video content that captures the natural beauty and character of your brand, property, or experience. We understand that sometimes plans change or conditions are out of anyone’s control. This policy outlines how cancellations, rescheduling, and refunds are handled to ensure fairness and clarity for both parties.

1. Client Cancellations

If a client needs to cancel a scheduled shoot:

  • More than 14 days before the shoot:

    • You may receive a full refund of any payments made, minus a 5% administrative fee (to cover processing and scheduling costs).

  • Between 7 and 14 days before the shoot:

    • You may reschedule once at no additional cost, or cancel for a 50% refund of the total project fee.

  • Less than 7 days before the shoot:

    • Cancellations within 7 days are non-refundable, as that time is reserved exclusively for your project. However, you may reschedule once by paying a 25% rescheduling fee of the project total.

2. Rescheduling by Client

  • Clients may request one complimentary reschedule (with at least 7 days’ notice) within 90 days of the original shoot date.

  • Additional rescheduling requests or short-notice changes (less than 7 days) may incur a 25% rescheduling fee to account for lost time and logistics.

3. Weather, Safety, or Unforeseen Conditions

  • Because Pine to Pixel often works outdoors, weather and environmental conditions can impact scheduling.

  • If unsafe or unsuitable weather prevents the shoot (e.g., heavy rain, strong winds, lightning, or poor visibility), the session will be rescheduled at no additional cost.

  • If rescheduling is not possible within 60 days, the client may choose between:

  • A credit for the full value of the booking to use within 12 months, or

  • A partial refund equal to 70% of the total project fee (the remaining 30% covers pre-production and travel costs).

  • Pine to Pixel retains full discretion to determine when conditions make shooting unsafe or impractical.

4. Cancellations by Pine to Pixel

  • In the rare event that Pine to Pixel must cancel (due to illness, emergency, or equipment failure):

  • Clients will be offered a priority reschedule date at no charge, or

  • A full refund of any payments made.
    Pine to Pixel will not be liable for any indirect or consequential losses related to such cancellations.

5. Technical or Delivery Issues

  • If technical issues or unforeseen circumstances prevent successful delivery of media (and not caused by the client), Pine to Pixel will:

  • Offer a partial or full refund, or

  • Re-shoot the project at no additional charge (subject to availability).

  • Once final media is delivered, all sales are final.

6. Force Majeure

Neither party shall be held liable for delays or cancellations due to events beyond their reasonable control, including but not limited to natural disasters, acts of government, power outages, or other force majeure events. In such cases, both parties agree to work in good faith toward rescheduling.

7. Agreement

By booking a service with Pine to Pixel, you acknowledge that you have read, understood, and agree to this Refund & Rescheduling Policy.
